This policy explains what personal data this site collects, why, on what legal basis, for how long, with whom it is shared, how it is protected and how to exercise your rights. It is written in accordance with Gabonese law No. 001/2011 of 25 September 2011 on the protection of personal data, as amended by law No. 025/2023 of 12 July 2023, Regulation (EU) 2016/679 of 27 April 2016 (the "GDPR"), applicable to participants located in the European Union, and the African Union Convention on Cyber Security and Personal Data Protection (Malabo Convention, 2014). Where applicable, the national data protection laws of participants' countries of residence also apply (for example Ivorian law No. 2013-450 or Senegalese law No. 2008-12). We process your data lawfully, fairly and transparently; for determined purposes; collecting only necessary data; keeping it accurate and up to date; retaining it for a limited period; and ensuring its security and confidentiality.
Data controller
The controller for data collected through this site is the organising committee of the Africa–Europe International Conference on Insolvency ("CIAEI"; see the Legal notice). It entrusts the operational side of collection to:

Data collected
Depending on the form used, this site collects the following data, always entered directly by the person concerned, except for speaker profiles. Required fields are marked with an asterisk; without them, your request cannot be processed.

Special case: speaker profiles
Speaker profiles (name, function, institution, country, bio summary, participation role and related modules, working languages, optional profile link and photo) are entered by the organising team, never directly by the person concerned, based on prior written consent collected offline from each speaker before any publication. Each speaker may request the modification or removal of their profile at any time; removal takes effect within 72 hours.
Other special data
Visa invitation letter. If you request an invitation letter, additional data may be requested by email (date of birth, nationality, passport number). It is used solely to prepare the letter, is not entered on the site, and is deleted 30 days after the conference.
Sensitive data. The "dietary requirements" field may indirectly reveal religious beliefs or a health condition (allergy). It is optional, should be filled in neutrally (e.g. "no pork", "no peanuts") and is only shared with the caterer, without your name where possible. It relies on your explicit consent.
Photographs and recordings during the conference. The conference may be photographed, filmed or live-streamed for communication and archiving purposes. Participants are informed at registration and on site (signage). Speakers sign an authorisation for the use of their image and talk. Any participant may decline to be photographed by informing the front desk, or later request the removal of a published image.
Data collected on site. The name badge and attendance sheet use registration data (name, institution, country). No biometric data is collected.
Technical security data. An IP address is used temporarily to limit abusive attempts on public forms and on the admin login. It is not kept beyond this security window (from one to a few minutes depending on the form). The host may keep technical logs for a limited period set by its own terms.

Withdrawing consent
You may withdraw your consent at any time, as easily as you gave it. Withdrawal does not affect the lawfulness of processing carried out beforehand.
Your data is never sold, rented, or used for commercial purposes unrelated to the conference. Participant lists are not shared with sponsors without your prior, separate agreement.
Recipients and international transfers
Data is accessible to authorised members of the organising committee, according to permissions limited to their role (registrations, sponsorship, contributions, newsletter, messages, speakers). These individuals are bound by a confidentiality obligation.
- The scientific committee, for evaluating contributions.
- The caterer, for dietary requirements (without your name where possible).
- Consular authorities, solely for visa invitation letters you have requested.
- Public authorities, upon lawful request.
- Our technical providers (see table below), as subprocessors.

Transfers outside Gabon and the EU
Some data is hosted or processed outside Gabon and the European Union, in particular in the United States. Such transfers are only made to a country recognised as offering an adequate level of protection, or on the basis of appropriate safeguards, in particular the European Commission's standard contractual clauses, and, for transfers from Gabon, in compliance with the conditions and formalities set by Gabonese law and the APDPVP. Your rights
In accordance with the GDPR, Gabonese law and good data-protection practice, you have the following rights:
- Right to be informed clearly about the use of your data.
- Right of access to your data and to obtain a copy.
- Right to rectification of inaccurate or incomplete data.
- Right to erasure ("right to be forgotten").
- Right to restriction of processing.
- Right to object, in particular at any time and without justification to direct marketing (newsletter).
- Right to portability of the data you provided.
- Right to withdraw your consent at any time.
- Right not to be subject to a decision based solely on automated processing.
- Right to set guidelines on the fate of your data after your death (French law).
Exercising your rights
To exercise these rights, contact [email address to be completed] or use the Contact page form. We may ask you to prove your identity in case of reasonable doubt. We respond within one month, extendable by two months for complex requests; you will be informed if so. Exercising your rights is free, except for manifestly unfounded or excessive requests.
Complaints to a supervisory authority
If you believe your rights are not being respected, you may lodge a complaint with:
- the Gabonese authority: Autorité pour la protection des données personnelles et de la vie privée (APDPVP), Libreville [address and website to be validated];
- the authority of your country of residence or work in the EU (in France, the CNIL: www.cnil.fr);
- the authority of your country of residence in Africa (for example ARTCI in Côte d'Ivoire, CDP in Senegal).
Security and data breaches
We implement technical and organisational measures appropriate to the risks:
- Encrypted connection to the site (HTTPS).
- Administrator account passwords stored in hashed form, never in plain text.
- Two-factor authentication (one-time code) required for all administrator accounts.
- Rate limiting on public forms and on the admin login, to prevent automated abuse.
- Role-based access management and the principle of least privilege; account review at the close of the conference.
- Encryption of data at rest by hosts and regular backups.
- Logging of access to the admin area.
- Awareness training for committee members and confidentiality commitments.
Data breaches
In the event of a personal data breach (loss, leak, unauthorised access), we document it and notify the competent authority promptly: without undue delay to the APDPVP and, where the GDPR applies, within 72 hours to the competent European authority. If the breach poses a high risk to your rights, we inform you directly.
As no system is infallible, we cannot guarantee absolute security, but we are committed to promptly fixing any identified flaw. You may report a vulnerability to [email address].

This site does not use any audience-measurement or advertising cookies. It only sets cookies that are strictly necessary for it to function, which do not require your consent:

Minors
This site is not directed at minors and does not seek to knowingly collect their personal data. If we learn that a minor's data has been collected without their legal guardians' authorisation, we delete it. A minor student wishing to participate must register with their legal guardians' consent.
Automated decisions
No decision producing legal effects or significantly affecting you is made solely on the basis of automated processing. The selection of scientific contributions is carried out by human reviewers.
